Capture Data Back to HubSpot with HubSpot Capture Fields

Did you know you can collect information directly from signers and send that data back into HubSpot automatically? With HubSpot Capture Fields, you can add fillable fields to your signable documents and map them to HubSpot properties. So when a signer completes the fields, the data updates your CRM instantly. Let’s learn how it works!


In this article, you will learn how to:

  1. Add HubSpot Capture Fields to a signature block

  2. Select the HubSpot Object and properties you want to capture

  3. Insert the field tags into your signable template

  4. Collect signer information and push it back into HubSpot


1. Add HubSpot Capture Fields to your workflow

Once you have your workflow set up with a signature request, open your Template Block.

Inside the signature settings, you will see an option at the bottom of the table for: HubSpot Capture Fields

Click on it to open the Capture Fields configuration panel.


2. Choose which HubSpot object you want to capture data from

After clicking the HubSpot Capture Fields option, you will be asked to choose the object type:

  • Primary object - Update the primary object e.g. Deal, Contact, Company, Ticket or Custom Object

  • Contact - Update the signature recipient's contact

Select the one that matches where you want the information to be stored.

Portant will now display a full list of every property available inside the selected object.


3. Select the properties you want to capture

Scroll through the list and check all the properties you would like the signer to fill in during the signing process.

For example:

  • Delivery Address

  • Start Date

  • Contact Phone Number

  • Contact First Name

Check as many as you need, there is no limit.

Once you’ve made your selection, click Save.

Portant will now add these properties to the HubSpot Capture Fields section of the workflow, here:


4. Insert your Capture Field tags into the signable document

The next step is to add the capture fields to your template.

You will see a list of all selected properties with a Copy button next to each field. Click Copy to grab the field tag.

Then, paste the [[tag]] into your signable document template wherever you want the signer to fill in the information.

You can also mark each property as required or not required before the document can be signed. There is also the option to add placeholder text in the input field.


5. Generate and sign the document

Once your tags are placed:

  1. Run a test or trigger your workflow

  2. Portant will generate a signable document that includes the fields you added

The signer will then complete all requested information during the signing flow.


6. HubSpot updates automatically

After the signer submits the document a signed copy of the document with the additional data is stored. The data from each filled Capture Field is also sent back to HubSpot to update the applicable record in HubSpot.

This lets you collect information directly from signers, without manual data entry.
