Creating a Portant automation with a Fillable PDF template is a fast and easy way to streamline document generation, allowing you to automatically populate fields with data from sources like Google Sheets or HubSpot — but remember, the PDF file needs to be editable and fillable for the automation to work properly.
In this guide, you’ll learn how to:
Log in to your Portant account at and click +Add Workflow.
Click Advanced Templates and add a Fillable PDF template.
Select an existing template from your Google Drive (left-hand panel), or click Upload PDF file.
Once you select your template, Portant will prompt you to:
Add a title for your workflow
Choose a color
Pick an icon
Click Create
The Next step is to add a source to your workflow. Click +Add Source.
Then, select your preferred source (e.g. HubSpot, Google Sheets, Google Forms, etc.).
Once you've added your source to the automation, it will look like this:
Open the template in your workflow to customize it. Click the Copy button on the right-hand side of the source table, then paste the tag wherever you’d like it to appear in the document.
If you selected HubSpot as the source:
You can run the automation directly from within HubSpot. Simply go to your HubSpot object, click Generate/Actions, and select the Portant automation you'd like to run.
If you’re using other sources (e.g., Google Sheets, Google Forms): Run the automation directly from Portant by clicking the Automate button in the top right corner, then click Start.

Note: You can enhance your workflow by adding extra stages like:
Email Block – to send documents via email
Review Block – for document approval
Signature Request – to request eSignatures
To do so, click the plus (+) icon after the template block to add these elements.
