Preview Links for Signature Requests

When sending a document for signature, you may want more people to review the content than just the authorised signers. For example, you might need internal stakeholders, legal teams, or additional client contacts to view the document, while still restricting who is actually allowed to sign.

Portant automatically creates a Signature Preview Link for every signature request. This allows you to share the document with a wider audience for visibility and review, while ensuring that only the specified email addresses can complete the signature securely.

The Preview Link allows anyone with the link to view the document exactly as it will appear to the signer.

This link:

  • Is saved in the Outputs tab of your workflow

  • Is saved in the Signing Link property on the associated HubSpot object

  • Allows you to review the full document before or after sending

The Preview Link is for viewing only. It does not allow someone to sign unless they are an authorised signer.


How Signing Security Works

Only the email addresses specified in the Signature Request block are able to sign the document.

When an intended signer opens the Preview Link and attempts to sign:

  1. They can click on a button within the document and request the signing link.

  2. A secure signing link is sent directly to their inbox

  3. They must access that secure link to complete the signature

This ensures that:

  • Documents can be easily reviewed and shared internally

  • Only authorised recipients can complete the signature

  • Signatures remain secure and tied to verified email addresses

You can clearly see within the document where signatures are required.
