Approving Portant in Microsoft 365 (Entra ID)
Some Microsoft 365 organisations require administrator approval before users can sign in to third party applications like Portant. This is controlled by Microsoft Entra ID and is common in enterprise, education, and security focused tenants.
This article explains:
How to request approval from your admin
How an admin approves Portant
How admins manually assign users if required
When this is required
You may need admin approval if:
You see “Administrator approval required” during sign in
Your organisation restricts Enterprise Applications
Users cannot complete sign in even after approval
Security policies require explicit user assignment
Ask your admin to approve Portant
If you are not an admin, the fastest path is to ask your Microsoft 365 admin to approve Portant for your organisation.
Sample email to send your admin
Subject: Approval request for Portant application (Microsoft Entra)
Hi {{Admin Name}},
I’m trying to sign in to an application called Portant, which we use to generate and manage documents (proposals, contracts, and PDFs).
Our Microsoft tenant appears to require administrator approval for new Enterprise Applications, so I’m seeing an “administrator approval required” message when signing in.
Could you please approve access to the Portant application for our tenant.
This can be managed in the Microsoft Entra admin center under: Enterprise Applications → Portant → Users and groups
Portant has written an article to guide you through the steps and can be contacted for support here: [email protected] https://docs.portant.co/portant-docs/getting-started/how-to-sign-up/approving-portant-in-microsoft-365-entra-id#admin-approval-and-user-assignment-admin-steps Thanks very much for your help. {{Your Name}}
Admin approval and user assignment (Admin steps)
If you are a Microsoft Entra admin, follow the steps below.
Prerequisites
Global Admin or Application Admin role
Access to Microsoft Entra admin center
Step 1: Open Microsoft Entra admin center
Go to: https://entra.microsoft.com
Step 2: Navigate to Enterprise Applications
Select Enterprise applications
Search for and open Portant
Step 3: Approve access (if prompted)
If admin consent has not yet been granted:
Approve Portant when prompted during sign in, or
Review and approve permissions within the app
Step 4: Assign users to Portant
Some tenants require users to be explicitly assigned.
Open Users and groups
Click Add user or group
Select the required users or groups
Leave Role as Default Access
Click Assign
Step 5: Confirm sign in
Once approved and assigned:
Ask the user to return to Portant
Click Sign in with Microsoft
Sign in should now complete successfully
Why user assignment may be required
Some organisations enable “User assignment required” for Enterprise Applications. When this is on, users cannot sign in until they are explicitly assigned.
You can check this setting under: Enterprise Applications → Portant → Properties
Summary
If users cannot sign in with Microsoft:
Request admin approval for Portant
Ensure Portant is approved in Entra
Assign users to the Portant Enterprise App if required
Retry sign in
